Return & Refund Policy

Thank you for shopping at Chidori Vintage. We want you to feel confident purchasing our vintage and pre-owned items. If you experience a problem with an order, please contact us so we can help.

Returns

You may request a return within 30 calendar days of receiving your order.

To qualify for a return, the item must:

  • Have been purchased directly from Chidori Vintage.

  • Be returned in the same condition in which it was received.

  • Have no additional damage, wear, cleaning, repairs, or alterations.

  • Include any accessories or other components originally supplied.

Items returned with additional damage, wear, missing components, or alterations may receive a partial refund or be refused.

Unless otherwise stated, all items sold by Chidori Vintage are vintage or pre-owned. Minor imperfections, patina, signs of age, and natural wear are part of an item’s character and are not considered defects when they were shown or described in the listing.

Change-of-Mind Returns

If you return an accurately described item because you changed your mind, no longer want it, ordered it by mistake, or decided it was unsuitable:

  • You are responsible for return shipping and any associated costs.

  • Original shipping charges are non-refundable, except where applicable law requires otherwise.

  • Any import tariffs, duties, carrier advancement charges, customs-clearance charges, or processing fees Chidori Vintage paid for the original shipment are non-refundable.

  • Chidori Vintage may deduct these actual, non-recoverable import costs from your merchandise refund.

Although Chidori Vintage pays applicable U.S. import tariffs and processing fees for qualifying standard shipments, that coverage applies only to completed purchases. If you voluntarily return an item, we will not absorb import costs that we cannot recover from the carrier or customs authority.

Before sending a return, please contact us or submit a return request through our website. We may delay or refuse unauthorized returns.

Refunds

Once your return arrives, we will inspect it and notify you of its status.

If approved, we will calculate the refundable amount after any applicable deductions described in this policy. We will issue the refund to the original payment method.

The time required for the credit to appear depends on your bank, card issuer, or payment provider.

We will not make any deduction for shipping charges, tariffs, duties, processing fees, or other costs when such a deduction is prohibited by applicable consumer law.

Incorrect or Materially Misdescribed Items

Please contact Chidori Vintage within seven days of delivery if:

  • We sent the wrong item.

  • The item differs materially from its listing description.

Please provide your order number and clear photographs showing the item and the issue.

Depending on the circumstances, we may arrange a refund, replacement, store credit, or another appropriate solution.

If the problem resulted from our error or a material difference from the listing, we will not deduct tariffs or import-processing costs from an approved refund.

Items Damaged During Shipping

Contact Chidori Vintage within seven days if an item arrives damaged.

Please provide clear photographs of:

  • The damaged item.

  • The shipping label.

  • The exterior packaging.

  • The interior packaging and padding.

  • All visible damage to the package.

Keep the damaged item and all original packaging. Do not discard, repair, clean, alter, or return anything until Chidori Vintage provides instructions.

Damaged EMS and Surface Mail Shipments

EMS and Surface Mail shipments include postal insurance. The recipient must cooperate with the postal service’s insurance-claim process.

If an EMS or Surface Mail shipment arrives damaged:

  1. Keep the damaged item and all original packaging, including the shipping box, wrapping, padding, labels, and other packing materials.

  2. Contact Chidori Vintage immediately and provide clear photographs.

  3. Take the damaged item and all original packaging to your local post office.

  4. Ask the post office to inspect the shipment and create an official damage report.

  5. Send Chidori Vintage a copy or photograph of the damage report and any claim or reference number provided by the post office.

The post office may need to retain the item or packaging during its investigation. Please follow its instructions, but notify Chidori Vintage before permanently surrendering the item.

A refund, replacement, or credit may be delayed until the required postal inspection and damage report have been completed.

If the recipient discards the packaging, refuses the postal inspection, or otherwise does not reasonably cooperate with the insurance process, the post office may deny the claim and our ability to provide reimbursement may be limited, except where applicable law requires otherwise.

Damaged Airpack Shipments

Airpack shipments do not include postal insurance.

If an Airpack shipment arrives damaged, contact Chidori Vintage within seven days and keep the item and all original packaging.

Provide clear photographs of the item, shipping label, exterior packaging, interior packaging, and all visible damage. We will review the circumstances and advise you of the available resolution.

The absence of postal insurance does not limit any mandatory rights available under applicable consumer law.

Other Shipping Services

If an item sent through SpeedPAK or another carrier arrives damaged, contact Chidori Vintage within seven days. Keep the item and all original packaging and follow any inspection or documentation instructions we provide.

If shipping damage is confirmed, we will not deduct tariffs or import-processing costs from an approved refund.

Return Shipping

For change-of-mind returns, the customer must arrange and pay for secure, trackable return shipping.

Please package the item carefully. The customer is responsible for damage or loss resulting from inadequate packaging or an untracked return.

Do not return an item until you have received return instructions from Chidori Vintage.

Import Tariffs, Duties, and Processing Fees

Qualifying Standard Shipments to the United States

For qualifying orders sent using standard SpeedPAK or Japan Post shipping options, Chidori Vintage pays the applicable U.S. import tariffs, duties, and processing fees.

We do not collect these charges separately from the customer at checkout, and no additional tariff payment should be required upon delivery.

If an accurately described item is returned because the customer changed their mind, we may deduct from the refund any actual import tariffs, duties, carrier fees, customs charges, or processing fees paid by Chidori Vintage that we cannot recover.

We will not deduct tariff and processing costs from an approved refund resulting from our error, confirmed shipping damage, or an item that differs materially from its listing, except where circumstances outside our control or applicable law provide otherwise.

DHL Express and Other Special-Request Shipments

DHL Express shipments requested by the customer may be sent under Delivered at Place (DAP) terms.

The recipient is responsible for import duties, tariffs, brokerage charges, customs-clearance charges, and processing fees associated with these shipments.

Destinations Outside the United States

Unless expressly stated otherwise at checkout, VAT, GST, import duties, tariffs, brokerage charges, and other destination-country fees are the customer’s responsibility.

Refused, Rejected, or Unclaimed Shipments

A package that is refused, rejected, abandoned, or left unclaimed is not automatically treated as an approved return.

If the shipment is returned to Chidori Vintage, we will consider any refund only after we receive and inspect the item.

Where permitted by law, we may deduct:

  • Original shipping costs.

  • Return shipping costs charged by the carrier.

  • Import tariffs, duties, customs charges, and processing fees paid by Chidori Vintage.

  • Other non-recoverable carrier or customs expenses.

  • A $5 per-item restocking fee.

We will not issue a refund for a refused or unclaimed shipment that is not returned to Chidori Vintage.

Customs and Delivery Delays

Chidori Vintage is not responsible for delays caused by customs inspections, government agencies, carrier disruptions, severe weather, or destination-country postal services.

We complete the required export and customs documentation carefully, but customs processing and carrier delivery times are outside our control.

European Union Customers

Customers in the European Union may have additional statutory rights, including a right of withdrawal that may generally be exercised within 14 days of receiving an online order.

Where these rights apply, customers may use the return or cancellation process available on our website or contact us directly.

Nothing in this policy limits or excludes rights provided by applicable consumer law. If any provision of this policy conflicts with a mandatory legal right, the applicable legal requirement will take precedence.

How to Request a Return

Please use the return or cancellation request process on our website or contact Chidori Vintage before sending anything back.

When contacting us, include:

  • Your order number.

  • The item you wish to return.

  • The reason for the return.

  • Photographs if the item is damaged, incorrect, or materially different from its description.

After 30 days, voluntary returns and refunds are generally unavailable except where required by applicable law.
